Summary

The Scheduling Capacity Analyst is responsible for strategic template design and optimization using industry-standard best practices for building, maintaining, modifying, and oversight of scheduling templates, visit types, visit type modifiers, template slot blocks, decision trees, and reporting tools. Engages with department leadership across the enterprise to accelerate scheduling workflow, access, and capacity-related improvements in the ambulatory setting. Responsible for meeting the scheduling and capacity goals and targets set by executive leaders.

Responsibilities

  • Builds, maintains, and modifies visit types, scheduling templates across outpatient service lines.
  • Provides day-to-day support of scheduling configuration within the EMR.
  • Meets service line timelines when resolving template schedule and guided scheduling decision tree requests while providing end user education.
  • Fulfills template and guided scheduling decision tree update requests quickly and accurately, consistently seeking opportunities to utilize visit type, template, subgroups, and decision tree build best practice/operational guidelines.
  • Compiles schedule & provider utilization by service and location for Outpatient practices; investigates significant variances in the data and research as to the cause.
  • Initiates creative problem solving, detailed analysis, effectively translates cross functional employee needs to system requirements.
  • Collaborates with divisional and ambulatory patient access services leadership to evaluate current schedule utilization and monitors effective use of appointment slots; implements improvement initiatives focused on streamlining scheduling operations to meet organizational access goals.
  • Works in EPIC to develop/modify centralized scheduling templates. Assists users (administrative leadership & outpatient patient access users) in improving performance on appointment lag and appointment utilization. This includes but not limited to guided scheduling build and decision tree as a part of the health system initiative.
  • Uses reports confidently to develop recommendations that are both meaningful and actionable.
  • Researches, organizes, analyzes and synthesizes data to support effective decision making as well as works within tight deadlines
  • Leads implementation and maintenance of scheduling related projects including the planning, overall project management and ongoing monitoring post project closure.
  • Supports new provider onboarding (i.e. schedule development, implementation of self-scheduling, clinical interests, automated communications, etc.).
  • Supports provider off boarding to ensure proper discontinuation of Epic templates, automated systems, and subgroups.
  • Conducts individual and class sized training for end users on how to maintain and modify scheduling visit types, templates, subgroups, and decision trees; provides written education materials (quick reference guides).
  • Works with Information Services (IS) implementation team and Epic technical support to develop, test and implement software enhancements.

Work Experience

  • At least 3 years Outpatient Epic Scheduling Experience Required
  • At least 3 years related experience Required

EDUCATION

  • High school diploma or equivalent Required
  • Four-year Bachelor's degree or equivalent experience Preferred

LICENSES AND CERTIFICATIONS

  • EPIC Cadence Certification (preferred upon hire) 1 Year Required
